Post, Edit, and Manage a Group Promo

Post a new promo and recruit authors to sign up.

Post a Promo

  • To Post a Promo:

1. Click Promotions on your BookFunnel dashboard.

2. Click Post a New Promo in the top-right corner.

3. Choose either a newsletter builder or sales promo (Click Promo Form Details to learn more about the two types of promotions you can post).

4. Complete the form (click Promo Form Details for more information.

5. Click Post Promo. You will receive an email confirmation with details and a direct link to your promotion.

6. Click Join Promo at the top to add your own book.

7. Click Edit next to Landing Page Details and design your landing page.

8. Share the promo on Facebook (join our Facebook group!), K-Boards, or anywhere else authors in your genre lurk. The link to share with authors is displayed at the top of your promo.

Promotion Name This is helpful in identifying your promotion. Example: 12 Days of Cozy Mysteries in July

Promotion Type Is your promo going to find new mailing list subscribers or sell books?

A “newsletter builder” is a promo where every author offers a free book (or sample). Most authors in the promo will require a reader to subscribe to their newsletter in exchange for downloading the free book.

A “book sales promo” is where every author submits a sales landing page that sends buyers to buy the book, either directly from the author’s online store or at the bookstore of their choice.. Readers are not joining a mailing list or providing their email address. If you opt to restrict a sales promo to one specific store, BookFunnel will only show the store link you specified on each sales landing page. Example: A Kindle Sales Promo will only link to the Kindle store

BookFunnel will automatically restrict the links to the correct type when an author submits a book to your promo. A promotion can only accept sales landing pages or download pages, never both. Once your promo is live, you cannot change the promo type.

Contact Name and Email We strive to protect your privacy. We will not share your account name or account email with any other author or service. Please provide a contact name and contact email address that you are comfortable sharing with other authors.

Submission Deadline This is the last date you will accept submissions. Your promo will automatically close submissions after the deadline has passed. New authors cannot see it after submissions have been closed.

Start/End Dates The dates your promotion will run. Your promo will become active at 12:00:01 AM UTC on the start date selected, and end at 11:59:59 PM PST on the end date selected. You can edit these dates up until the promotion has ended if necessary.

Genres Authors are notified when new promos are posted in their genres. Select up to 3 genres or sub-genres so that we can notify the correct authors when your promotion goes live.

Promotion Link This is the promo’s URL on BookFunnel. Select the link from the drop-down menu or click Edit to create a new link. If you try to select a URL and BookFunnel tells you the “Link is already in use”, you’ll need to “unpublish” the promo that is currently using that URL or just create a new URL. To unpublish the old promo, open a new browser window and click Bundles on your dashboard. Select the bundle that is using the URL you want and edit it. Then, click inside the Bundle URL drop-down menu and select the top BLANK line. Click save. That will unpublish the old promo and release the link so that you can use it in your new promo.

Discussion Link If you are discussing your promo on Facebook or some other public platform, you can link to it here. If the discussion is taking place in a private group or forum, only authors in that group will be able to see your post. Join our Facebook Promos Group.

Submission Requirements Tick the boxes that suit your promo so that authors can determine whether or not their book is a good fit.

Authors may have to pay money to join this promo This requirement can be used if you will be running Facebook ads or boosting posts and would like to request (or require) every author to contribute towards the cost. Some organizers have also used it when their promo has a high list size requirement, but they are willing to accept an author with a small list if they will pitch in for ads or boosted posts. Requiring authors to pay a fee to join your promo violates the spirit of group promos, but does not currently violate the rules.

Additional Requirements Form URL If you have created a google form and want participants to submit additional information to you in order to join your promo, link to it here. Participants will be required to tick a box when submitting their book to your promo, promising that they have filled out your “additional requirements” form.

Promo Description Describe the promotion so that authors can determine if they are a good fit. Is this an unlimited promo, or does it only have space for six books? Do all participants need to share with their newsletter or social media X times? Is this for KDP Select Samples only?

Once your promo is posted, it is added to the Promotions board and other authors can sign up. At 10:00 am CST, BookFunnel will send the details to every author that is currently following your genre.

Join Your Own Promo

Once you have posted your promotion, add your own books to it!

To join your own promo:

  1. Click Promotions on your dashboard and then click Your Promos
  2. Click the name of your promotion
  3. Click Join Promo at the top of the promo page and submit your book link

Promo Landing Page Design

You can style the look of your promo landing page and add custom text, a snazzy header image, and more!

  • To Edit Your Landing Page:

1. Click Promotions on your dashboard and then click Your Promos.

2. Click the name of your promo.

3. Locate the Landing Page Details panel and click the Edit button.

4. Upload a header image, change the default page text, and more! Click Landing Page Details for more information.

5. Click Save Landing Page.

Page Title This is the title of the page on a user’s web browser, but is not displayed on the page itself.

Page Header Image You can upload a JPEG or PNG header image. If you want a header image but do not have one, you can use Canva.com to create one in minutes for free or $1. We like their Twitter Header and Etsy Cover Photo template because of their dimensions but play around with all of their options. Have fun!

Book Cover Layout You can select one of the four available layouts for your promo.

Dark Theme Changes the background color of the landing page to black.

Page Text You can include text here if you would like to, or leave it blank and let the book covers shine.

Coming Soon Message This text will be displayed before the promo starts in case an author shares the promo before it begins by mistake.

Promotion Ended Message This text will be displayed after the promo has ended.

Show a Countdown Timer The timer will count down until your promo starts, and then will count down until your promo ends.

Show Social Media Sharing Icons Adds social media sharing icons to the top of the landing page. You can optionally add a custom sharing message.

Facebook Pixel ID Include your Facebook pixel and track leads from Facebook ads and organic Facebook traffic.

BookFunnel Links Books in your promo will be displayed in this table. They will be displayed in this order on your landing page unless you opt to randomize the order of the books.

Featured Checkbox Tick the Featured box and a book will be locked to the top of the landing page, even if you opt to randomize the rest of the books in the promo.

Randomize the order of books The top row of books will always get more eyeballs than the last row. You can choose to randomize the book covers to distribute those eyeballs more evenly. If checked, you can optionally mark a book as “Featured” to lock it in the top row while randomizing the remaining books in the bundle.

Review and Reject Books

When an author submits a book, it is automatically “in.” You can reject book submissions and delete them if they are not a good fit for your promo.

If your promo has strict requirements, you can open the book file to see if the book suits the promo.

To open a book file:

  1. Click Promotions on your dashboard and then click Your Promos.
  2. Click the name of your promotion.
  3. Click the “preview book” icon to the left of the book you want to review.
  4. That will load the book in the BookFunnel Cloud Reader and allow you to quickly and easily flip through the book and review its contents.

All books that have been rejected (or withdrawn) will be listed in the Deleted Links table. You can view the deleted links below the list of active books.

To reject a book from your promo:

  1. Click Promotions on your dashboard and then click Your Promos.
  2. Click the name of your promotion.
  3. Click the trash icon to the left of the book you want to remove.
  4. As a courtesy, please include a quick note to the author letting them know why you are removing their book (book cover is NSFW, doesn’t fit this genre, etc.)
  5. Click Remove Link.

Communicate With Authors

While Recruiting

Interested authors may ask questions about before they sign up. Try and be responsive. Authors can preview your promo’s landing page, so be sure you’ve added your own books and header image (if you have one) under Landing Page Details.

If an author sends you their BookFunnel link directly, click Add Link at the top of your promotion to add it manually.

While the Promo is Running

Use the Send Update button to send a note to every participating author. Need to change the start date or want to share the Dropbox link for the social media images? Use that “Send Update” button and we’ll email everyone.

If you need to communicate privately with one participant, click their name on the promo and send them a direct email.

Authors that join your promo have not consented to email marketing. Please do not use Send Update to solicit BookFunnel authors and do not add author email addresses obtained from a promo to your own mailing list.

Each author will receive their own, unique tracking link that they should share with readers. Each reader they send to the promo will be tallied in the “Shares” column on the promo. More information on statistics below.

After an author joins your promo, they will see their tracking link at the top of the promo on their dashboard. It will also be included at the bottom of every “Send update” message you send.

If any participant contacts you for their tracking link, tell them to view the promo on their dashboard to find it.

Close Submissions on Your Promo

You can close submissions on your promo if you would like to pause or suspend signups.

To close submissions on your promo:

  1. Click Promotions on your dashboard and then click Your Promos.
  2. Click the name of your promo.
  3. Click the Close Submissions button near the top of the screen.

Edit Your Promo

You can edit your promo while it is recruiting and running. Once it is finished, you cannot edit the promo or reactivate it.

To edit your promo settings (dates, genre, title):

  1. Click Promotions on your dashboard and then click Your Promos.
  2. Click the name of your promo.
  3. Click the Edit button.
  4. Make any changes and then click Save Promo.
  5. If you have changed any values critical to the promo, click Send Update and let authors that have submitted their links know about the changes.

To edit your promo landing page (header image, page text):

  1. Click Promotions on your dashboard and then click Your Promos.
  2. Click the name of your promo.
  3. Locate the Landing Page Details panel and click the Edit button.
  4. Make any changes and then click Save Landing Page.

Delete Your Promo

If you want to delete your promo:

  1. Click Promotions on your dashboard and then click Your Promos.
  2. Click the name of your promo.
  3. Click Delete Promo.
  4. Any author that has submitted their link will be notified that you have canceled the promotion. A record of your promo will remain on their dashboard as “Canceled”, but will not be visible to anyone else.

Restore a Deleted Book

Did you delete a book by mistake? Or maybe you want to remove a book temporarily so that the author can provide additional information? You can reinstate any deleted link. Do not restore any link that was withdrawn by its author.

  1. Click Promotions on your dashboard and then click Your Promos.
  2. Click the name of your promotion.
  3. Scroll down to the Deleted Links table.
  4. Click the restore icon to the left of the deleted book.
  5. Be sure and send the author an email to let them know you reinstated their link. You can email the author directly by clicking their contact name in the list of books.

Promo Statistics

As the organizer of a promo, you can see (1) the total number of views by unique visitors, the total number of book covers that have been clicked, and total number of books claimed for the entire promo, as well as (2) those stats per book.

Promo Landing Page Details (Global Promo Stats)

To view the total number of views, clicks, and books claimed for the entire promo, click Promotions on the BookFunnel dashboard and then click the name of the promo. In the Landing Page Details, you will see three columns of statistics:

Views: The total number of views by unique visitors your promo has received.

Clicks: The total number of book covers that have been clicked in the promo.

Claims: The total number of books that have been claimed (if giveaway links) or downloaded (if download links).

Statistics By Book

To view the total number of views (referred to as “shares” in the promo), clicks, and claims for each book, click Promotions on the BookFunnel dashboard and then click the name of the promo.

In the Promo Participants table, you will see three columns of statistics to the right of each book title:

Shares: The total number of readers sent to the promotion by this author.

Clicks: The total number of clicks this book cover received.

Claims: The total number of readers that have claimed/downloaded this book.
